Executive Assistant

The Executive Assistant performs a variety of administrative tasks to successfully and proactively support Enspira’s senior most executives (President, C Suite). This position will require initiative, judgment, independent decision making, and customer service skills.


what you’ll do:

  • Manage complex calendaring across multiple time zones including large group meetings with internal and/or external clients for assigned executives 
  • Coordinate and schedule complex travel arrangements, meetings, and appointments for assigned executives
  • Prepare monthly reconciliation of credit card expenses and reimbursements
  • Prepare weekly time tracking and reporting 
  • Prepare agendas, schedules, and content for meetings 
  • Take detailed minutes during meetings 
  • Prepare reports, presentations, written summaries, and/or special projects, which may include data collection, coordination, preparation, and distribution
  • Prepare and send internal and external correspondence
  • Provide external webinar and meeting support 
  • Respond to and resolve administrative inquiries and questions
  • Oversee the performance of other administrative staff
  • Perform other related support duties and projects as assigned

 

what we’re looking for:

  • A bachelor's degree or equivalent combination of education and/or experience 
  • 5+ years of experience as an executive assistant role in a fast-paced environment
  • Excellent organizational skills and attention to detail 
  • Ability to proactively anticipate needs of executives and address issues before they arise
  • Sense of urgency in completing tasks while not sacrificing a high level of attention to detail
  • Responsive approach with ability to quickly adapt and action 
  • Ability to see requests and projects through to successful completion
  • Ability to take initiative, work independently and seek resolution to complex issues with little guidance 
  • Experience establishing and maintaining clerical procedures and systems such as recordkeeping and filing 
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Ability to maintain confidential and sensitive information
  • Proficient in Google Workspace and Slack
